Definition of an Administrator on the ELCY system
An ELCY Administrator is someone nominated within the organisation to control the set-up and use of the system. They should also be ELCY’s contact point for system questions outside the normal user questions (when users are fulfilling their duties) as well as a liaison point for the security tokens required by all users.
ELCY will initially set up the person/s nominated as Administrator by the Corporate by ticking the “ELCY_CLIENT_ADMIN” and/or the “USER_ADMIN” boxes within the ‘User Management’ profile list as shown below. Only Administrators will have these boxes ticked. The Administration tab will only appear to the administrator/s of ELCY within the organisation.
Administration of all users related access, create, delete etc is controlled by the user group USER_ADMIN. Administration of all other set up is covered by ELCY_CLIENT_ADMIN. A full administrator requires both boxes. In organisations where the new users are set up e.g. by an IT department, those setting up users require USER_ADMIN, and it is recommended that senior users within the operations/treasury/finance department have ELCY_CLIENT_ADMIN to configure banks etc.
An organization can have any number of Administrators; it is recommended to have at least two.
Common Tasks
The most common tasks for a user administrator are as follows:
- Set up a new user and ensure a token is allocated to the user in conjunction with the ELCY Helpdesk (elcy-helpdesk@surecomp.com)
- Reset a disabled user
- Deactivate a user
- Delete a user and ensure their token is collected in (if hardware) or cancelled
- Manage token replacement – when a user’s hardware token is expiring, lost or no longer working, contact the ELCY Helpdesk (elcy-helpdesk@surecomp.com)
- Hold the organization’s stock of spare hardware tokens securely, or know where they are when one is required
- Manage the organization's configuration of Microsoft Authenticator and/or Single Sign On if used
The most common tasks for a client administrator are as follows:
- Add new banks to the system for Import, Export or Auction module use
- Amend details of contacts at banks to receive notification of new transactions
- Create or edit templates of banks for Auction module
- Add new Goods Descriptions for Export LC filtering
