Organisations can create eXchange messages to send to each other about transactions. These create an MT799 or MT759 authenticated message to the other party or are sent over the system if both parties are system users.
eXchange messages can be sent independently of a transaction, and these will create an MT799 authenticated message to the recipient. You can go into ELCYeXchange tab then click on ‘Create New Message’ - create a message from new or use a template – NB you can send attachments with messages as long as they are in pdf, txt or zip format.
Alternatively, a message can be created from within a transaction by selecting Send eXchange Message at the top of the transaction, in which case it automatically picks up the references from the transaction and will appear inside the transaction as well as in the eXchange message list. This message will now create an MT759 or MT799 authenticated message to the related party.
A blank message will come up, the references will be completed if created from an existing transaction so that all parties can find the related transaction.
Otherwise enter a Sender’s reference for the message. If you are creating a new message about a transaction which is not yet in the system, creating a sender reference which will be the corporate reference for the transaction means the message will be available inside the transaction once it is created.
Choose the bank to send the message to, and a department or user if required. Add any external email contacts, who will receive a copy by email.
Attach any files, type your subject and text in the boxes.
Click on Create.
A copy of the message appears for you to review.
Click on Back to edit the message or if happy, click on Submit. You will see a message about whether further approval is required, or whether you are able to send this message yourself. Click on OK to continue, which puts the message into In Progress status.
When you’re ready, update the Status to the next level – if you can send the message yourself, it will be to Send Message. If you cannot send the message, it will be to Send for Approval. Another user (or a number of other users) will then need to update the status of the message until it is Sent.
You will then be able to see the message in the Outbound Message List – the status will either be Sent, or Swift Sent, depending on whether the recipient uses ELCY or not.
