Where an organisation uses more than one department, it is possible to set up rules for a new tranasction to be automatically moved from the SWIFT Inbox and placed into the correct Department based on the contents of the goods description, applicant and/or beneficiary fields.
Initial set up
The initial set up needs to be done by the ELCY team in conjunction with the administrators in the corporate.
Amending rules – goods description
These can be set up by the client administrator in Settings, Administration, Client Goods Description. New LCs have the contents of their field 45A checked against this list and moved into the appropriate department.
If the including of a goods description in the LC means it is always to go to a particular department, select that department from the drop down then click Save at the bottom.
If a new goods description is required, click on Create.
Add a name in capital letters and the department you wish it to go to, then save. You can also add misspelt goods, for example you can add COPPER, COPER and COPERR if required. Then Save.
Amending rules – LC beneficiary (field 59)
Where LCs sent to a particular name always need to be dealt with in a particular department, this can be handled in Settings, Counter Parties, Applicants List (which contains the list of companies in your organisation i.e., the beneficiary of the LC as shown in field 59).
For an existing applicant, you can select the relevant department from the drop down then click Save at the bottom.
If a new name is required, click on Add.
Complete at least the mandatory fields (*) and also select the name of the Department from the dropdown. Then Save.
Amending rules - combining goods description and counterparties
It is possible to set rules for both together. Go to Settings, Counter Parties, Applicant Goods Description List.
For existing applicant and goods description pairs, you can select the relevant department from the drop down then click Save at the bottom.
If a new pairing is required, click on Add.
Select the Applicant (remembering that here this is the beneficiary of the LC as per field 59) and Department, then highlight the Goods Description names and click on the arrows at the bottom to move to the right-hand column. Then Save.
Amending rules – LC applicants (field 50)
It is also possible to set up rules based upon the applicant of the LC per field 50, with or without combining this with the goods description. For further information on this, please ask the ELCY Helpdesk.
